 This is an excellent opportunity to work for a not for profit schools company located in Sheffield 8. The purpose of the job is to provide efficient and effective reception, financial, administrative and customer service support to internal and external customers.  Listed below are examples of some of the duties involved in the job:

Customer Service – Provide reception cover during working hours and meet and greet customers; Provide an effective and efficient service to telephone enquirers and personal callers; Manage post and e-mails.

Information Systems – Maintain and assist with the development of information systems; Input, maintain, locate and retrieve data using computerised and manual systems; Process financial information; Receive, sort, distribute and dispatch mail.

Events Managements – Maintain and update room booking system and calendar; Process and confirm room booking requests; Arrange meetings and events; Marketing of facilities, events and conferences; General diary management; – Arrange catering and refreshments for meetings and events; Conference planning and organisation; Project management and support.

Purchase Goods and Services – Order, store and distribute goods and services; Process claims for payment;  Process orders/invoices through to payment; Maintain financial recording systems and produce information as required; Book and arrange facilities for meetings and travel.

Contribute To the Effectiveness of the Service Area – Contribute to planning and organising own work load; Organise information systems in support of own work and team activities; Take notes of meetings (where formal minutes are not required), recording attendees, key items and outcomes; Produce, check and distribute information within agreed timescales; Potential professional assistant (PA) duties.

Communication – Communication via a variety of social media including twitter and facebook; Website updating using established systems; Production of materials such as flyers and course information.

Create and Maintain Effective Working Relationships – Create, maintain and enhance constructive working relationships with members of staff, elected members and members of the public.

 

Requirements:  Listed are some of the essential requirements for the job.  Educated to GCSE standard or equivalent or able to demonstrate the competencies required to carry out this role;  Numeracy and Literacy skills;  – Competent use of IT packages; Ability to work on own initiative or as part of a team; Customer service experience; Ability to work under pressure and to meet deadlines; Ability to listen, gather information and communicate clearly both verbally and in writing with a range of people; Ability to communicate face to face and over the telephone in a professional, confident and courteous manner;  Demonstrate a calm manner and an ability to handle difficult situations;  Ability to process financial information;  Understanding of the need for accurate information systems; Ability to take notes of meetings and to produce accurate records.

 

Training:  Business Administration Apprenticeship at Level 2 or 3 depending upon the successful candidate.

 

Hours:  37 hours/week.

Pay:   At least £4.20/hour (£155.40/week based on 37 hours).
